Lead data accuracy and verifying before you send

Prospects data comes from a third-party provider and can be out of date. What the catch-all and untested badges mean, why a revealed email still needs verifying, how to verify a list, and how to report a record that is wrong or bounced.

Where the data comes from

The people and companies in Prospects come from a third-party data provider, not from EmailPal's own research. People change jobs, companies change their email setup and addresses go stale. A record can be wrong or out of date even when it looks complete.

That is why Prospects reminds you, wherever emails are on screen or about to be used, to verify anyone you plan to email before you send. It is a reminder, not a gate: nothing waits on it.

What the badges tell you

A revealed email can carry a badge:

  • catch-all. The domain accepts mail to any address, so this one may bounce, or may land nowhere. Some will not be read.
  • untested. The data source has not checked the address yet. Expect a higher bounce rate.

By default a people search leaves catch-all and untested addresses out. Under Addresses to include you can switch either one on. Those boxes narrow what the data source returns; they are not EmailPal's verification.

Verify before you send

A bounce rate of a few percent is enough to hurt a warmed mailbox, and a lead list that has never been checked is the usual cause. EmailPal verifies lists with SMTP probes that never deliver a message, and returns eight verdicts. List verification by EmailPal

A practical order for a list from Prospects:

  1. Add the people you want to a list. Add prospects to lists and campaigns
  2. Choose Export CSV on the list.
  3. Open List check, upload the CSV and wait for verdicts. How to verify an email list before sending
  4. Drop invalid, disabled, disposable and full mailboxes. Decide on catch-alls as a policy, and do not round unknown up to safe.
  5. Send the rest from a warmed mailbox, inside the sending limits.

When a record is wrong

Use Report this record on a row (the flag at the end of the row, on a paid plan) and pick the reason:

  • The data is wrong.
  • They asked not to be contacted.
  • The email bounced.

The record is hidden for your workspace right away. Reports are reviewed before they affect anyone else. Remove yourself or report a lead record

Bounces from a campaign also teach the platform: addresses that bounce hard are suppressed, so they are not mailed again. The global blocklist and unsubscribes

What EmailPal does check

Every time you save a contact, EmailPal checks it again: the address must be usable, must not be a personal, government, military or school address, must not belong to someone who asked to be removed, and must not be on a do-not-email list. What is left out is counted and explained in the result. That protects the people in the data. It does not prove that an address is deliverable.

Is a revealed email guaranteed to work?

No. It is third-party data. Verify it, and expect some to bounce.

Does Prospects verify emails for me?

Not as a separate step. The catch-all and untested badges come from the data source. Run the list through List check for EmailPal's own verdicts.

The email bounced. What should I do?

Do not retry it. Report the record with The email bounced, and check the rest of the list before you send again.

How fresh is the data?

We do not promise a refresh schedule. Re-verify a saved list before every campaign, especially one that is a few months old.
